Emails

Formwire sends two emails for a submission: the notification to you and anyone else you choose, and, if you switch it on, the autoresponder to the person who filled in the form. Both are set up in the form’s Settings, Email, and both start with a sensible default, so you only write what you want to change.

Subjects, sender names and messages take placeholders, filled in from each submission:

Placeholder Becomes
{field:name} The value of the field called name. Empty when the submission didn’t send it; a list is joined with commas.
{form_name} The form’s name.
{submitted_at} When it arrived, in UTC: 2026-10-25 03:04 UTC.
{all_fields} Every submitted field as a list of labels and values. Notification message only.

Click Insert field, or type {, to pick one from the form’s fields. Anything that isn’t a placeholder is left as you wrote it, and the editor warns you about it. The preview under the editor fills them in from your latest submission, the same way the email will.

  • Sender name: who the email is from. The form’s name by default.
  • Subject: New submission: <form name> by default. A subject field in the submission takes its place (submit endpoint).
  • Message: the email’s text. The default is:
Default message
New submission on {form_name}.
{all_fields}

Write your own to add a greeting, a checklist for whoever handles it, or only the fields you care about:

A custom message
{field:name} ({field:email}) asked about {field:topic}.
{field:message}
Reply to this email to answer them. Everything they sent:
{all_fields}

The message is plain text: line breaks are kept and nothing in it is read as HTML. Leave {all_fields} out and the list isn’t included. Every notification still ends with the page it was sent from and a link to the submission in your dashboard. Clearing the message restores the default.

Switch on Autoresponder to email the person who filled in the form, at the address in their email field. Write its subject and message with the same placeholders, except {all_fields}. Because anyone can type any address into a form, each value a placeholder puts in is kept to one line of up to 100 characters with links taken out, and the email says who sent it. It goes only to submissions that pass the spam filter, at most once every 10 minutes per address per form. Replies go to picks which of your linked emails receives replies, or none.

Both emails are form settings: settings.email.subject, from_name and body for the notification, and settings.autoresponder.subject and body for the autoresponder. Send null to restore a default. MCP can switch the autoresponder off but not on, and can’t reword it while it’s on, so an agent can never start emailing strangers. See the API and the MCP server.
